Who we are
Excel Tutors (“we”, “us”, “our”) is a tuition centre and private exam centre based in East London. We are the data controller responsible for your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This policy explains what personal data we collect, why we collect it, how we use and protect it, and the rights you have over it.
What data we collect
We collect and process the following categories of personal data:
- Identity and contact details — name, email address, phone number and postal address.
- Student information — the student's name, year group, subjects and the school they attend.
- Enquiry details — the messages, assessment requests and booking information you send us.
- Usage data — how you interact with our website, collected through cookies and similar technologies.
We only collect special category data (such as information about a learning need or health condition) where you choose to share it so we can support a student appropriately.
How we collect your data
We collect personal data when you:
- Complete an enquiry, assessment or booking form on our website.
- Contact us by phone, email or in person.
- Enrol a student or register as a private exam candidate.
- Browse our website, through cookies and analytics.
Why we use your data and our legal basis
We use your personal data to:
- Respond to enquiries and arrange academic assessments — on the basis of taking steps to enter into a contract with you.
- Provide tuition, invigilation and exam-centre services — to perform our contract with you.
- Send service updates and, where you have agreed, marketing about our classes and events — on the basis of your consent, which you can withdraw at any time.
- Meet our legal and regulatory obligations, including safeguarding and exam-board requirements — to comply with a legal obligation.
- Improve and secure our website — on the basis of our legitimate interests in running an effective service.
International transfers
Some of our service providers may process data outside the UK. Where they do, we make sure appropriate safeguards are in place — such as the UK International Data Transfer Agreement or an adequacy decision — so your data receives an equivalent level of protection.
How long we keep your data
We keep personal data only for as long as we need it. Enquiry records are kept for up to 24 months. Records relating to enrolled students and exam candidates are kept for as long as required to meet our contractual, safeguarding and exam-board obligations, after which they are securely deleted.
Your rights
Under the UK GDPR you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to erase your data in certain circumstances.
- Restrict or object to how we use your data.
- Request your data in a portable format.
- Withdraw consent at any time, where we rely on consent.
To exercise any of these rights, contact us using the details below. We will respond within one month.
Children's data
Many of our services involve children. We collect a child's data with the involvement of a parent or guardian and only use it to provide tuition and exam services and to keep students safe. We take extra care to protect this information.
Changes to this policy
We may update this policy from time to time to reflect changes in our services or the law. When we do, we will revise the “last updated” date at the top of this page. Please check back periodically.
